WWatsOrder

Privacy Policy

Last updated: November 8, 2026

WatsOrder is a WhatsApp order and CRM automation platform for online sellers. It is operated by WebbyDude (“we”, “us”, “our”). This policy explains what information we collect when merchants use WatsOrder, and when their customers message them on WhatsApp, how we use that information, and the choices you have.

Questions about this policy can be sent to thewebbydude@gmail.com.

Information we collect

We collect the following categories of information:

  • Merchant account details. When a seller signs up, we store their name, email address and store name so we can create and manage their account.
  • WhatsApp connection details. Merchants connect their own WhatsApp Business number to WatsOrder by providing a phone number ID and an access token issued by Meta. We store these details so the platform can send and receive messages on that number.
  • End-customer conversation data, processed on the merchant's behalf. When a customer messages a connected merchant on WhatsApp, we process the customer's WhatsApp phone number, the chat messages exchanged, and any order details the customer provides during the conversation, such as their name, delivery address and the items they want to buy. This data belongs to the merchant's customer relationship; we process it only to provide the service to that merchant.
  • Payment references. When a merchant pays for a subscription manually, we store the transaction reference (transaction ID) they submit so we can verify and record the payment. We do not collect or store card details. Card payments are processed by our payment provider, which handles card data under its own privacy policy.

How we use the information

We use the information we collect to operate WatsOrder, specifically to:

  • Receive customer WhatsApp messages and send AI-generated replies to them;
  • Create and record orders from confirmed conversations;
  • Show merchants their chats, customers and orders in their dashboard;
  • Enforce subscription plan limits and manage billing;
  • Provide support, keep the service secure and fix problems.

We do not use merchant or end-customer data for advertising.

AI processing

Customer messages are processed by our AI provider (Groq), which generates replies in the merchant's catalog context and extracts order details (items, quantities, name and delivery address) from confirmed conversations. Messages are sent to Groq's API for this processing and are handled under Groq's terms for API services.

Merchants are responsible for informing their own customers that their WhatsApp messages are handled by an automated assistant and processed as described here.

Sharing of information

We share data only with the service providers needed to run WatsOrder: Meta/WhatsApp (to deliver and receive messages through the WhatsApp Business Platform), Groq (for the AI processing described above), and our hosting and database providers (to store and serve the application). These providers process data only so we can provide the service.

We do not sell personal data to anyone.

Data retention and security

Conversation and order data is retained while the merchant account it belongs to is active, so the merchant can access their chat history and order records. If a merchant asks us to delete their account, we will delete the associated data as described below.

We apply reasonable technical safeguards to protect the data we store, including encrypted connections and access controls. WhatsApp access tokens are stored server-side and are never exposed in the public frontend. No system is perfectly secure, but we work to protect information against unauthorized access, loss or misuse.

Your rights

Merchants may request an export or the deletion of their account data at any time by emailing us at thewebbydude@gmail.com. We will respond within a reasonable time.

If you are an end customer who messaged a merchant that uses WatsOrder, please contact that merchant directly to exercise your rights over your conversation and order data. You can also email us and we will forward your request to the relevant merchant.

Changes to this policy

We may update this policy from time to time, for example when we add features or change providers. When we make material changes, we will update the “Last updated” date above and, where appropriate, notify merchants through the dashboard or by email.
